This Policy explains how HireSense collects, uses, discloses and safeguards "Personal Data" when you interact with our AI recruiting service. We are committed to protecting your privacy and maintaining the highest standards of data security in compliance with applicable data protection laws, including DPDPA 2023 and other international privacy regulations.

By using our service, you acknowledge that you have read and understood this Privacy Policy and agree to the collection and use of information in accordance with this policy.

1.1 Important Note about HireSense

HireSense is an AI-powered hiring platform developed by Caze Labs Private Limited that helps organizations:

  • Screen candidates
  • Analyze resumes and interviews
  • Get insights to support hiring decisions

Our goal is to make hiring faster, smarter, and more consistent.

HireSense uses artificial intelligence to assist in evaluating candidates. That means:

  • Our system provides recommendations and insights, not final decisions
  • AI outputs may not always be accurate or complete
  • You should not rely solely on HireSense to make hiring decisions
  • You remain fully responsible for all hiring decisions as well as your data privacy and data protection obligations toward your end customers

We are continuously working to improve fairness, accuracy, and transparency—but no AI system is perfect.

HireSense receives and processes data from sources (such as mailboxes, uploads, and integrations) that you configure. This policy governs how HireSense processes such data forwarded to it. No other end-user agreements apply to such data unless explicitly stated.

Caze Labs Private Limited is not directly responsible to the original data owner for data privacy and data protection obligations related to content provided to HireSense by you.

2. Data We Collect

We collect various types of personal data from the Resume supplied to hireSense to provide and improve our AI recruiting services. The following table outlines the categories of data we collect:

Note: We also use cookies, local storage, web beacons and pixel tags to track session analytics, user preferences, and improve service performance.

3. Legal Bases for Processing

We process Personal Data on one or more of the following legal bases under DPDPA 2023 and applicable data protection laws:

  • Performance of Contract: To provide our recruiting services as agreed
  • Legitimate Interests: For improving hiring efficiency, preventing fraud, and enhancing our services
  • Consent: For interview recordings, marketing communications, and non-essential cookies. Consent for audio/video processing will be obtained separately before any automated interview session begins.
  • Legal Obligations: To comply with applicable laws and regulations

4. How We Use Your Data

Data of your account in HireSense is owned by you and the responsibility of such content will also be owned by you. Caze Labs works as the Data Processor of the CV data provided by you and your customers to us based on the terms of use of HireSense. We use the collected personal data for the following purposes:

  • Provide, maintain, and secure our AI recruiting platform and services
  • Analyze interview responses and generate assessment reports using proprietary and third-party AI models (without using candidate media to train external models)
  • Schedule interviews, send notifications, and facilitate communication between candidates and employers
  • Improve our algorithms, detect potential bias, and audit model performance for fairness. We may use anonymized, aggregated data to improve our algorithms, but we never use identifiable candidate data for general model training.
  • Send marketing communications about similar products and services (with opt-out options)
  • Comply with legal obligations and enforce our Terms of Service
  • Prevent fraud, abuse, and ensure platform security

5. Automated Decision-Making & Fairness

Bias-Free AI: HireSense's AI scoring system ranks candidates based solely on job-related competencies.

AI-generated scores are "predictions" and not absolute legal facts about a candidate's character.

Our commitment to fair and unbiased hiring includes:

  • Human review capabilities and override options for all AI-generated assessments

6. Data Sharing & Disclosure

We share personal data with the following parties under strict data protection agreements:

  • Service Providers:Cloud hosting, transcription services, analytics and AI service providers operating under comprehensive data processing agreements (e,g. MS Azure, AWS, GCP, etc)
  • Employers/Customers: Companies who invited candidates to use our platform (limited to relevant assessment data)
  • Corporate Affiliates: Other companies in our corporate group and professional advisors
  • Business Successors: In the event of a merger, acquisition, or asset sale
  • Legal Authorities: Law enforcement or regulatory bodies when legally compelled or required

We do not sell personal data to third parties or permit advertising-based profiling of our users.

7. International Data Transfers

Your personal data may be processed in India, the European Economic Area (EEA), the United States, and other jurisdictions where our service providers operate. For cross-border transfers, we implement appropriate safeguards including:

  • Standard Contractual Clauses (SCCs)
  • Adequacy decisions for countries with equivalent data protection standards
  • Binding Corporate Rules for intra-group transfers
  • Additional technical and organizational measures to ensure data security

HireSense handles resumes sent to a "designated email," or by uploading. This constitutes a "transfer of data" to our Cloud storage locations. You hereby agree to such data transfers of you and your customers data.

Our comprehensive security framework includes:

  • Encryption: TLS 1.2+ for data in transit, AES-256 encryption for data at rest

Please note: While we implement robust security measures, no system is 100% secure. Users transmit data at their own risk, and we encourage the use of strong passwords and secure networks.

9. Data Retention Periods

We retain personal data for different periods based on the type of information and its purposebased on the available storage options and configurations. Even though this works as backup for such data, we request users to create backups of critical data which are extremely important for the business. Normal data which is stored in our systems are Interview media, Assessment Reports including JD and resume, and Account Information

Subject to applicable local laws (including DPDPA 2023), you have the following rights regarding your personal data:

11. Children's Privacy

HireSense processes the data supplied by the business users. So it is the duty business users not to feed any data which belongs to Children below age of 18. There is no separate filters to check the age of the person and process the data accordingly.

  • Disabling cookies may affect service performance

13. Changes to This Policy

We may update this Privacy Policy periodically and Last updated dates will be published . Continued use of our service after the effective date constitutes acceptance of the updated policy.
